Map the fields for CAM true-up review

Your firm can use lease system fields to plan intake.

This guide does not send those fields into CAMAudit. The tool reads the signed lease and CAM statement.

Accruent lists terms and dates as possible abstract fields. It does not set one required field list.

Use three source types

Label every field by its right source.

System-ready

The lease system may hold this value. A reviewer still checks its source.

Lease-check

The reviewer must read the signed lease text. Amendments may change the answer.

Statement-only

The landlord statement supplies this value. The lease system cannot create it.

Add proof fields

Every value needs a short proof trail.

Add these columns:

  • Source document
  • Source page
  • Source clause or line
  • Last checked date
  • Confidence note
  • Reviewer name

Deloitte describes accuracy review in abstraction work. Your firm must define its own quality rules.

Set five hard stops

Stop the review when key proof is missing.

  1. The signed lease is missing.
  2. The amendment chain is unclear.
  3. The CAM statement is missing.
  4. The review period is unclear.
  5. The share method lacks support.

Do not fill these gaps from memory. Record the missing item. Then send a focused request.

Resolve field conflicts

Source documents beat stored fields.

Keep the old value for history. Add the corrected value beside it. Record the source and reviewer.

Do not overwrite a conflict without a note. That hides the reason for change.

Walk one example

Use this made-up case. It is not a client result.

Assume the system stores a five percent share. The current statement shows six percent.

Do not pick either value yet. Read the lease and amendments. Record the stated method and source pages.

Then compare the statement math. Send unclear legal meaning to counsel.
