Use each client's real dates.

Send a note before the statement.

Ask for files once it comes.

Use three message stages

Dates depend on each lease. The two windows below are examples. Replace them with the client's real dates.

Build the send sheet

Use one row per client segment.

Decision message

We checked if the file is ready. We still need the items below. We have no answer yet.

Route each response

Do not promise findings in the newsletter. Use four response codes instead.

Example route

Assume the statement arrives March 10. Assume the lease sets the due date. The manager logs it first.

The client sends no amendments. The file moves to GAP. The firm requests them before giving a conclusion.

These dates are examples. The lease controls the real schedule.

Run the newsletter desk

Treat the calendar as an intake tool. Every send needs an owner. Every reply needs a clear route.

Build the client list

Start with clients that have known lease files. Group them by real timing. Do not place every client on one made-up date.

Work the reply queue

Log each reply on the day it reaches the queue. This rule does not promise speed. The owner may answer later.

Use the document request SOP for GAP replies. Use the client scope language after a file passes intake.

Review the campaign

Check facts before you count interest. A reply count does not show fit. Check the files and team load too.
