Build a dental CAM review queue
Use one queue row per site and year.
Rank rows by file state and review dates.
Then review each site against its own lease.
Dental group software guidance supports shared views across sites. It does not test landlord charges.
Your queue joins the view. It does not merge the leases.
This dental lease guide says NNN leases may add CAM. Each site still needs its own lease check.
Set the row key
Use this key for each row:
Client + site + landlord + statement year
Do not make one row for a whole group. That hides source gaps.
Add the queue fields
Track these fields for every row.
| Field | What it holds |
|---|---|
| Client | Dental group name |
| Site | Address or site code |
| Landlord | Name on the statement |
| Statement year | CAM period under review |
| Statement date | Date on the statement |
| Delivery proof | Email or other receipt |
| Lease end | Signed lease end date |
| Deal date | Known deal date, if any |
| Cost change | Current and matched past amount |
| Lease files | Lease and signed changes |
| CAM files | Statement and cost support |
| Review owner | Named firm reviewer |
| Counsel flag | Yes, no, or open |
| Queue state | Current work state |
Keep a source link beside each date. Do not guess a notice date.
Use five states
Give each row one state.
New
The row exists. No file check is done.
Needs files
A core source is missing. Name its owner.
Ready
The core source set is present. Review can start.
Firm review
The source work is done. A named reviewer checks it.
Closed
The row has a clear close note. Closed means no open task.
It does not mean the client got money back.
Rank the ready rows
Use a simple order. Do not call it a risk score.
- Review dates needing counsel come first.
- Complete source sets come next.
- Large cost changes get attention next.
- Near lease ends follow.
- Known deal dates guide the final order.
Portfolio guidance recommends central intake and site reviews. It also says lease terms can differ by site.
That page gives work advice. It does not set your queue order.
Walk a sample queue
This example is fictional. All names and facts are made up.
River Dental Group has three leased sites.
| Site | Files | Date need | Cost change | State | Next step |
|---|---|---|---|---|---|
| Cedar | Complete | Counsel check | High | Ready | Counsel check |
| Elm | Missing lease change | None | High | Needs files | Ask client |
| Pine | Complete | None | Low | Ready | Firm review |
Cedar goes first because its date needs review.
Elm stays blocked. A cost change cannot replace a signed file.
Pine can enter firm review after Cedar.
Keep work separate
The queue holds lease and CAM files. It needs no patient data.
Keep billing and insurance work in other systems.
The consultant owns queue order. Counsel owns unclear lease rights.
Start each site with the lease cost service card.
Tie its payments with the dental cost worksheet.
Add deal rows with the DSO diligence index.
Take the ranked queue to the dental consultant plan.
Assign site owners before opening the franchise resource hub.
Present that queue with the franchise consultant offer.
Send other rows to the Practice Growth hub.
Where CAMAudit fits
Dental consultants own the group queue. They choose each ready site.
CAMAudit reviews the supplied site files. It may identify CAM review items.
It cites source lines and runs fixed math. Your firm checks the work.
Your firm reviews and signs each branded CAM audit. You deliver it.
The audit may lead to a dispute letter draft. Your team checks it.
It is not legal advice. Have counsel review before sending.
Map queue states in the service line guide.
