Build the request record

Accruent lists dates, costs, clauses, and terms among lease data fields. Use those fields to name the gap. They do not grant contact rights.
Do not request every landlord file. Ask for the proof needed by the stated scope.
Use four contact tiers
Each tier needs an owner, recheck, and exit.
Set each recheck from four saved facts. Use the request log. Use the proof need. Check the supported outside date. Check the saved client limits. Do not use one fixed day count.

Do not add threats as the tier rises. The message can name the gap. The BPO still stays within its contact rights.

Close or hold the gap
Every request should end in one status.
- Received: save the source and receipt date.
- Partial: name the item still missing.
- Denied: save the reply and route the client.
- No reply: keep the limit open.
- Counsel route: stop BPO legal language.
If required proof does not arrive, do not fill the gap. The final report should name the limit.
