Track site cost questions with sources and clear review states.

Build an MSO cost dashboard

Give leaders one view of open medical site costs.

Keep each row tied to one entity and site. Keep the lease year clear too.

AdvancedMD describes shared views for multi-site medical groups. It does not test CAM charges.

The top view tracks status. The drill-down keeps each source fact.

Set the row key

Use this four-part key:

Entity + site + lease + statement year

Do not make one row for a whole group. That hides lease and year changes.

The signed lease and CAM files still control each review.

Define the main fields

Give each row these fields:

Field What it holds
Entity Legal client name
Site Street or firm site code
Lease Signed lease name
Statement year CAM period under review
Landlord Name shown on the bill
Statement date Date printed on the statement
Delivery proof Email or other receipt
Notice text Exact signed lease words
Possible notice date Sourced date needing review
Cost change Current and matched past amount
Change type Known cause or open question
Source files Lease, statement, and cost support
Review state Current work label
Reviewer Named firm owner
Counsel flag Yes, no, or open
Next decision One clear action

Do not label a possible notice date as final. Let counsel guide unclear rights.

Occupier lists site views and key lease dates. It also names total site costs and CAM true-ups.

Those fields can shape the view. They do not prove a client result.

Use five review states

Give each row one state. Each label must have one test.

Unreviewed

The row exists, but no file check is done.

Missing support

A core source is absent. Name the missing file and its owner.

Needs review

The source set shows a cost question. A reviewer has not approved it.

Partner approved

The named firm reviewer checked the source and math. The row records that signoff.

Closed

The row has a source-backed close reason. Closed does not mean money returned.

A row should not jump to firm signoff. Check its sources first.

Set the evidence flags

The dashboard needs file checks beside every state.

Use these flags:

  • Signed lease present
  • Signed changes present
  • CAM statement present
  • Delivery proof present
  • Cost support present
  • Share worksheet present
  • Clause cite present
  • Statement line present
  • Math checked
  • Counsel need checked

That page gives a source file list. It does not prove a charge error.

A green summary needs all required flags. Do not hide one missing file.

Build the top view

Leaders need a short work view. Show counts, not money claims.

Use these tiles:

Counsel flags Rows with open legal meaning
Closed rows Rows with close reasons

Do not show a recovery total. The dashboard tracks review state.

CLA ties CAM review to portfolio views. Its article also centers lease terms and annual CAM review methods.

It does not support these tile names. Those fields are this guide's model.

Keep the drill-down

Every tile must lead back to rows. Every row must lead back to proof.

Use this path:

Tile -> row -> lease clause -> statement line -> reviewer note

Do not copy a total without that path. A source link makes review repeatable.

The note should name the math inputs. It should also name the decision owner.

Walk one sample dashboard

This example is fictional. The names and amounts are made up.

Harbor MSO holds three site rows for 2025.

Cedar has a source-linked question. The firm has not approved it.

Elm cannot enter firm review. The cost detail request stays on its row.

The top view shows three loaded sites. It shows one missing support row.

It also shows one row ready for firm review. It promises no result.

Set dashboard ownership

The MSO or advisor owns the dashboard. Name one person for each state change.

Keep patient revenue reports separate. They do not prove landlord charge issues.

Define service scope with the medical lease advice guide.
