Set the row grain
The row key has four parts:
Client + site + lease + statement year
That key stops two years from sharing one status. It also protects source links.
The signed lease controls each row.
Add the source fields
Keep these facts on every row:
- Client name
- Site name
- Lease year
- Statement date
- Proof of delivery
- Notice clause text
- Possible notice date
- Current CAM charge
- Prior CAM charge
- File state
- Named reviewer
- Next decision
Do not call a possible date final. The lease and counsel may change its meaning.
Occupier lists CAM true-ups and money landlords pay back. It also lists key dates and portfolio views.
That is one product's field set. It does not prove any billed error.
Score five intake checks
Give each check zero or one point. The top intake score is five.
These weights are not an industry rule. They only sort intake work.
Leased site
- Zero: Site ownership is not clear
- One: A signed lease ties the client to the site
Statement date
- Zero: The date lacks proof
- One: The statement and delivery proof show dates
Cost change
- Zero: No matched prior period exists
- One: A matched period shows a change without source cause
A change is not an error. It only gives the reviewer a question.
Notice text
- Zero: The governing text is missing
- One: The text and delivery proof are present
Do not score legal meaning. Send unclear meaning to counsel.
File readiness
- Zero: A core source is missing
- One: The lease and CAM files are present
The medical office CAM guide names common review files. It includes the lease and statement.
It also names cost support and share worksheets. Use those as added file checks.
Give each row one state
The score helps order work. The state decides if work can start.

This example is fictional. It is not a client result.
Northstar Medical Group has two made-up sites. Each site has two statement years.
The queue holds four rows:

Pine 2025 enters review first. Its score does not predict a finding.
Oak 2025 has more source facts than Pine 2024. Yet it needs expert review.
The queue keeps that legal question visible. It does not guess the answer.
Now the signed change reaches Oak 2024. That row gets a new file state.
Only that row changes. Oak 2025 keeps its own open issue.
Set the work order
Sort states before scores.
- Check possible notice needs.
- Route expert questions.
- Start ready rows by score.
- Send named file requests.
- Close rows with a source reason.
Do not blend this queue with claims work. Patient revenue has another owner.
