Scale CAM clause QA
Lease abstraction firms can use three QA lanes.
Send simple defects to fixed checks. Send document conflicts to source review. Send unclear meaning to an expert.
This guide proposes those three lanes. Each item stays tied to source proof.
Start with one packet
Do not send a reviewer an empty task. Build one small packet for each item.
Include these fields:
- Client and site
- Document ID
- Field name
- Abstracted value
- Source page
- Source text
- Confidence or doubt state
- Review state
- Named owner
- Governing file state
Accruent lists chosen fields for lease terms and costs. That supports field-level checks. It does not set one QA rule.

Use three review lanes
Give each lane one job. Do not mix file gaps with legal meaning.

Run fixed checks first
Fixed checks should test clear facts. They should not decide legal meaning.
Check these items:
- Required value exists
- Page number exists
- Document ID exists
- Date has one format
- Percent has one format
- Currency has one format
- Reviewer name exists
- File state is known
A fixed check can reject a blank cap. It cannot decide which cap controls.
Use the readiness score before opening QA work. Stopped files should stay outside the active queue.
Reconcile source conflicts
Compare the source trail when values differ.
Read the base lease, amendments, riders, and exhibits. Keep each value beside its source page.
Do not pick the newest date alone. A later file may change only one term.
Use the amendment graph for each clause family.
Reserve expert review
Some items need expert judgment.
Send these items to an expert:
- Unclear expense exclusions
- Partial cap changes
- Mixed share methods
- Unclear gross-up terms
- Conflicting notice dates
- Unclear audit rights

Send legal meaning to counsel. Keep the firm decision apart from legal advice.

Stop weak items
Stop work when the packet cannot support a decision.
Use these stop rules:
- The cited page is missing.
- The signed file is missing.
- The amendment chain has a gap.
- The governing term is unknown.
- The reviewer lacks the right role.
Name the missing proof. Assign one owner. Keep the item open until the proof arrives.
Walk one cap field
This example is fictional. It is not a client result.
The base lease shows a five percent cap. The abstract cites page 18.
The fixed check accepts the percent format. It also confirms the source page.
A signed amendment then shows three percent. The item moves to source conflict.
The amendment changes the cap. It does not name the expense base. The item moves to expert review.
The expert records both pages. The expert also records the narrow open question.
If the amendment page were missing, the item would stop. No reviewer should fill that gap from memory.
Close with one code
Every closed item needs a reason.
Use a short code:

Add the source page and reviewer name. A code without proof is not a close.
Check the queue
Use a small weekly view. This made-up table shows work state only.
