Set minimum CAM abstract fields
A CAM-ready abstract needs a small field set.
Keep fields that scope later review. Put speed aids in an enhanced set. This guide proposes the firm framework.
Ballard Spahr says the lease controls in disputes. Its source links support this field trail.
Start with source proof
An abstract is a map. It does not replace signed files.
Require this trail for each field:
- Document ID
- Section name
- Page number
- Exact clause text
- Normalized value
- Review state
- Amendment link
- Reviewer name
The fifth field holds the standard value used for sorting. Exact text keeps the source meaning visible.
See the firm page when explaining this source rule.
Use the amendment check before marking a field current.
Build the minimum set
Keep only fields needed for intake.
| Group | Minimum fields | Why intake needs them |
|---|---|---|
| File identity | Client, site, lease ID | Ties records to one file |
| Governing files | Lease, changes, exhibits | Shows the source chain |
| Premises | Leased area, property area | Frames share review |
| Review period | Start date, end date | Sets the CAM year |
| Expense terms | CAM meaning, exclusions | Sets charge scope |
| Share terms | Percent, method, base | Frames share math |
| Cap terms | Rate, base, carry rule | Frames cap math |
| Fee terms | Rate, base, limit | Frames fee math |
| Gross-up terms | Right, trigger, limit | Frames gross-up review |
| Audit rights | Window, notice, records | Frames the client choice |
No source calls this a market rule. The list is this guide's firm tool.
Accruent lists lease terms and special clauses as common fields. It does not set a CAM minimum.
Use the growth pillar before packing this field set.
Add enhanced fields
Enhanced fields can speed triage. They do not make a weak file complete.
Use the service guide when this set becomes an offer.
Add these fields when useful:
- Prior CAM year
- Prior statement amount
- Client payment record
- Landlord backup state
- File request owner
- Client decision owner
- Last checked date
- Open conflict code
- Expert review state
- Next client action
Use the readiness score to decide which gaps stop work.
Mark every field state
Do not use one blank value for every problem.
Use clear states:
| State | Meaning | Next action |
|---|---|---|
| READY | Value and source are held | Keep for review |
| MISSING | Needed value is absent | Request the file |
| CONFLICT | Two source values differ | Compare governing text |
| REVIEW | Meaning needs an expert | Assign the right reviewer |
| STOP | Governing proof is absent | Hold CAM intake |
Deloitte describes review status in abstraction work. Your firm still defines each state.
Send open fields to the CAM clause QA queue.
Use five hard stops
Stop CAM intake when key proof is absent.
- The signed lease is missing.
- A known signed amendment is missing.
- The CAM statement is missing.
- The review period is unknown.
- The audit-rights source is unknown.
Record the exact gap. Do not fill it from memory. Give the request to one owner.
An optional prior statement can stay missing. A governing lease cannot.
Compare two cap records
This example is fictional. It is not a client result.
Assume the base lease states a five percent CAM cap. The clause appears on page 22.
The minimum record can hold:
| Field | Value |
|---|---|
| Normalized cap rate | Five percent |
| Source file | Base lease |
| Source page | 22 |
| Exact text | Cited clause text |
| Review state | READY |
A later amendment then states three percent. The enhanced record adds more control.
| Added field | Value |
|---|---|
| Amendment link | Amendment 2 |
| Old value | Five percent |
| New normalized value | Three percent |
| Conflict state | REVIEW |
| Conflicting analyst note | Keep five percent until expert review |
Do not erase the old value. Keep both source pages. Let the reviewer decide what appears current.
Copy the field list
Copy this short row into a CSV file.
| Column | Example entry |
|---|---|
| client_id | Client file code |
| lease_id | Lease file code |
| field_name | cam_cap_rate |
| normalized_value | 3 percent |
| source_document | Amendment 2 |
| source_page | 4 |
| source_text | Exact clause text |
| review_state | REVIEW |
| reviewer | Named firm reviewer |
Use your own system names. Keep the source columns even when the value is blank.
Browse the lease abstraction hub for more field controls.
Where CAMAudit fits
Return to the amended cap row. It shows three percent and one conflicting note.
The lease abstraction firm clears that note first. It then sends the signed files and CAM statement.
CAMAudit can apply fixed cap math. It can also cite the source lines.
Your firm reviews and signs the branded CAM audit.
A dispute letter draft may follow a reviewed cap finding.
Your firm reviews the draft. It is not legal advice.
Have counsel review before sending.
